Terms & Conditions

Terms and conditions of trading – accommodation, block booking, conference or social function

Reservations: confirmation in writing by letter or fax will be required together with notification of method of payment to guarantee a booking. You may guarantee by providing a credit card number – subject to cancellation procedures below.

Unconfirmed reservations: these may be released for resale at the hotel’s discretion.

Late arrivals: these should be confirmed by telephone or fax.

On arrival: guests are required to check-in and complete the hotel’s registration form.

Under 18: You must be 18 years or over to make a booking with us and you must be aged 18 years or over to stay alone. We may require photo identification (a driver's licence or passport) as proof of age and if the guest is unable to present this to the satisfaction of the hotel we may terminate your booking without refund. Under 18's are the responsibility of the guest aged 18 years or over at all times.

Payment and credit: all accounts should be settled on arrival or on departure after completion of a pre-authorisation on check-in, unless approved credit accounts have been formally agreed. Invoices to customers having approved credit accounts will be rendered immediately after termination of the visit and are payable fourteen days thereafter. Any queries should not prevent payment of the outstanding amount.

Charging to room invoices: charges for food, drink, laundry etc. may be added to room invoices as long as a pre-authorisation has been taken by reception on check-in. The pre-authorisation will normally be for the booked room nights and approximately £30 per person per night.

Credit account facilities: these are not offered automatically and application for approval should be received no less than four weeks prior to the date of arrival if accounts are to be forwarded. Credit facilities will be considered for UK based companies only – application forms are available on request.

Credit cards: the following credit cards are welcome – MasterCard, Visa, Diners, American Express

Cheques: personal cheques are not accepted.

Company cheques: will only be accepted if prior arrangements have been made (14 days notice is usually required)

Deposits: the hotel reserves the right to require advanced payment or a deposit prior to arrival, the amount of which will be determined by the hotel. Should the customer fail to pay such a deposit within 10 days of having been required to do so the hotel may treat the booking as having been cancelled by the customer.

Cancellation fees (including non-arrival): In the event of a cancellation by an individual guest after 12noon on the day of arrival a cancellation charge equal to the full accommodation charge will be payable by the guest. If a cancellation is made a reference number will be given and should be retained as proof of valid cancellation.

Group accommodation, block booking, conference and social functions:

  • Any cancellation within 42 days of commencement of booking = 25% of quoted rate
  • Any cancellation within 30 days of commencement of booking = 50% of rate per room night
  • Any cancellation within 15 days of commencement of booking = 100% of rate per room night

Any booking pre-paid by pro-forma will be subject to the same conditions.

The hotel will endeavour to re-let the accommodation (providing that any such re-letting shall not take precedence over any other accommodation available) and in the event of such re-letting an appropriate allowance will be made against the cancellation charge.

The organiser/booker assumes responsibility for any or all damages caused by him or any of his guests or other persons attending, whether in rooms reserved or in any other part of the hotel and shall pay on demand to the hotel the amount required to make good or remedy such damage; this includes additional cleaning cost. The organiser assumes responsibility for the balance of the rate payable on departure unless otherwise stated. The organiser is required to submit a rooming list indicating guests’ names, lead name and any other special instructions 15 days prior to arrival.

Tariff: The hotel room rates are set out in the tariff card, which is available on request, and are subject to alteration without notice.

Corkage: No wines, spirits or beers may be brought into the allocated rooms of the hotel by customers or guests for consumption on the premises unless prior permission has been obtained and for which a charge would be made.

Take-away foods: Under no circumstances may take-away foods of any description be brought on to any part of the hotel premises at any time.

Smoking: Smoking in a room will incur a £100 cleaning fee.

Guests’ property: Clients are advised that no liability can be accepted for loss or damage to guest property left in the hotel in any area in whatever circumstances.
